Base Oil Procurement Guide for International Buyers

International base oil procurement is a chain of decisions, not a search for one headline price. A workable purchase starts with the intended application and acceptance requirements, then aligns the grade, supplier evidence, quotation basis, packaging, documents, destination arrangements and receiving controls. This guide organizes those decisions without replacing the verified specifications on a product page or the terms in a sales contract.

Start with the requirement, not the grade name

Describe the finished-lubricant application, the base-oil family under consideration and the properties that matter to your formulation. Use the Base Oil Guide for family-level education, then review the current base oil range. Product-specific acceptance values should come from the applicable current TDS and, for a shipment or batch, the applicable COA.

Follow the procurement journey

  1. International purchasing process (Coming later): move from requirement definition through delivery and receipt.
  2. Supplier due diligence (Coming later): verify the counterparty, evidence and export capability.
  3. Purchase specification: give suppliers a consistent, quote-ready requirement.
  4. COA, TDS and SDS (Coming later): understand what each document can and cannot establish.

Normalize quotations and logistics scope

A price is comparable only when the named place, Incoterms rule and version, packaging, document scope, payment basis and exclusions are clear. Use the FOB, CFR and CIF quotation guide before applying the landed-cost framework. For current market indications, keep the commercial intent with the Price Center and request a current, destination-specific quotation.

Plan packaging, documents and destination handling

  • Flexitank buyer checklist (Coming later) for buyer-side loading-to-discharge readiness.
  • Import documents checklist (Coming later) for commercial, transport, technical and clearance records.
  • Destination-port logistics checklist (Coming later) for release, storage, pickup and discharge coordination.
  • Drum vs IBC vs flexitank comparison (Coming later) for a handling-based packaging decision.
  • Pre-shipment and receiving checklist (Coming later) for identity, seal, condition and document controls.

Turn the requirement into a comparable RFQ

The Base Oil RFQ Template brings the key inputs together. State the grade or performance requirement, required documents, quantity, packaging, named destination, requested trade term, target timing and any destination-specific document needs. For larger requirements, review Bulk Supply. The commercial Base Oil page remains the owner of supplier and range discovery.
